A Day in the Life of an Event Photographer/Videographer in Hamburg:Â
Curious what a working day looks like for an event photographer or videographer in Hamburg?
Or perhaps you’ve not worked with event photographers or videographers before, and would like to know more about the process?
There’s a lot of planning and organisation that goes into event photography and videography.



Preparation For the Event
The preparation starts with making sure we have the necessary equipment and paraphernalia for the job.Â
This includes charged batteries and empty data cards. For basic photography jobs, we’ll bring the following:Â
- 2 professional Canon cameras (Canon 5D Mark III and IV)Â
- 3 lenses (Canon 70-200mm f/2.8L Mark II, Canon 35mm f/1.4L, and Canon 16-35mm f2.8L)Â
- MacBook ProÂ
- 2 x 1TB hard drives for on-site backup of footage (besides two data cards for each camera for redundancy)Â
- and a small flash (Canon Speedlite 580EX) Â
For video assignments, we’ll bring three times the equipment for photography. This includes:Â
- a professional video camera (Sony FS5 Or Canon c200)Â
- a small mirrorless camera (Sony α7S II or Balck Magic)
- a GimbalÂ
- 2 to 3 lights and stands (for interviews)
- sound equipment (on-camera mic, neck mic, or handheld mic)Â
- external recorder (Zoom H4n)Â
- XLR cablesÂ
- video tripods and monopod, slider, and more
On the day of the event, our prep work consists of checking traffic conditions and identifying the best route to get to the event venue early. It is our standard practice to arrive at least 30 minutes early for photography jobs, and 1 to 2 hours early for video assignments.
Setting Up Upon Arriving at the Location
One of the reasons we arrive early is to check venue conditions and set up our equipment. We’ll look at lighting conditions, background elements, branding placements, interview locations, etc. If necessary, we’ll make adjustments and enhancements for the best results. We’ll add more lighting if needed and set up our equipment in strategic positions for the best coverage. For interviews, we’ll look for a quiet spot with a clean background, unless the client has different requirements.
The Photography/Videography Assignment
For photography, we’ll focus on the event story, atmosphere, company branding, and human interactions. Our approach varies from reportage photography to street photography. We’ll capture details of the event using different compositions and backgrounds with a candid look and feel.
Besides regular video footage, we’ll include time-lapse clips with different perspectives of the event. When recording interviews, we’ll use 2 cameras as that provides better coverage for more dynamic video editing.
Data BackupÂ
We’ll back up all footage to the 2 separate hard drives every couple of hours, with the original data on the cards for an extra layer of backup. This means we have the data in 3 places for added redundancy.Â
Social Media
Our services include on-site delivery for media use and social media publication. Depending on how soon the client needs the footage, we’ll usually deliver 10 to 20 photos during lunch break. We are flexible in accommodating to varying requirements.

Upon completing the assignment, we’ll discuss the delivery time and mode with the client.
Our standard delivery is within a couple of days after the event via Dropbox, which is our preferred cloud storage platform. We’ll organize the footage in 2 different folders—one for web quality at 72 dpi and the other for print quality at 300 dpi. Giving the client immediate access to both versions saves them the time and hassle of having to resize high res photos themselves.
As you can see, there are a whole host of tiny details we take into consideration to ensure we deliver quality results. That’s what professional photography/videography is about. Â

Facebook Event: Last Days of Last Clicks – Hamburg, Germany
Being a professional photographer, I have taken many events photos in the past. And even if I have joined all kinds of events, there are still some that are more memorable. Recently, I had the opportunity to be Facebook’s event photographer in Hamburg.
This was an excellent opportunity to get a behind-the-scenes look at what it’s like to work at Facebook. It was also an amazing experience being able to document this major event for them.

20th Super Return Berlin – 2017
The event photographers of SeeSaw, a Berlin-based company, were commissioned by Informa to document the Super Return conference in Berlin. Marketing team of Informa wanted to have more than just pictures of speakers on stage – they wanted pictures of the attendees, the small moments on stage and networking participants in conversations. They also wanted to pay for quality.

mpe 2017 – Berlin conference and awards giving summit.
It was a great event, with an amazing lineup of speakers. It was also really good for networking.
Our three photographers captured the conference in high quality photos, with eye to the small moments and branding. This is a complex event that will be spread out over 5 different streams. We need 3 photographers to cover this conference, to document the event well and share the moments through social media.

Photo Editing: A Vital Part of Professional Event Photography
Event Photographer’s Photo Editing Work Flow
Writers make several rounds of edits to their work before delivering the final product. Professional photographers are no different. Editing and post-production are vital to ensure the client receives the highest quality images.Â
The Icing on the Cake
At SeeSaw Event Photo Agency, we see editing and post-production as the icing on the cake. You wouldn’t want a cake without icing, would you? I’m a big advocate of sharing, so I’m sharing the secret of my icing with you.
A Process of Selection and Elimination
During an average 3-day conference, I tend to end up with between 2,500 to 3,500 photos. Not all these will be suitable or good enough for promoting the event. Some of the shots might be blurry, out of focus, with poor composition — it’s a process of selection and elimination.

Edit While Photographing
I start the editing process when I’m taking the photos. I’ll decide on-the-spot which photos will be most useful in helping the client promote their event. Rather than shooting like a lunatic, I’ll stop and think about the best angle, composition, and human reaction. If the situation requires me to work fast, I’ll adjust my approach.
Finding the Best Photo Opportunities
Good photos should have the following elements:
- The main subject (e.g. the keynote speaker, a group of people networking, audience participation)
- Pleasing aesthetics and good composition (e.g. symmetry, texture, depth)
- Good lighting
- Company branding visuals
You might not always get all these elements, but try to get as many of them as possible. These are essential components to ensure the client has quality photos for promotional use.Â
Selection and Elimination Using Stars
I use a simple star system to filter out the good photos from the bad.Â
Phase 1: 1 Star
The process starts with me going through all the photos and relying on my immediate instincts. I’ll look for the four elements highlighted above. If a photo feels right and I like it (even just a little), I’ll give it 1 star. You won’t believe how many photos you’ll cut this way. From 3000 photos, I end up with 1200. That’s over 50% of the photos filtered out.
Phase 2: 2 Stars
Repeating the process, I go through the 1200 photos and give 2 stars to the ones I like. That brings the filtered photos down to 500.
Phase 3: Final Selection
This is where I get rid of duplicate shots and those that don’t tell the full story of the event. This brings the final number down to 350 to 400 photos. If necessary, you can repeat the process until you have the number of photos you want. Based on personal experience, you should have about 150 to 250 usable photos for each day of a big event.

Go Through Your Checklist
Make sure you’ve photographed all the key figures (e.g. speakers, presenters). For trade fairs, make sure you document each stand or booth. Clients should brief the photographer on their specific requirements. Otherwise, the photographer should ask if they have any doubts.
Post-Production
Using Adobe Lightroom, this is when I add the final touches. I make minor adjustments such as exposure and color correction, contrast, details enhancements, noise reduction, and cropping. For poor lighting conditions, always make visual adjustments for the best results.
I see post-production as an essential part of photography service. Like I said earlier, you wouldn’t want a cake without the icing, would you? Likewise, why should you settle for photos that aren’t edited and post-produced?
